Employee Covid-19 Privacy Policy
The President of the United States has announced executive orders that mandate COVID-19 vaccinations for employees who work on federal contracts. In addition, all organizations in the U.S. with more than 100 employees—like Allied Universal and its affiliated entities (“Allied,” “we,” or “our”)—must comply with U.S. Occupational Safety and Health Administration (“OSHA”) standards regarding vaccinations and/or routine testing of their workforces or face serious financial consequences for each violation. To fulfill our obligations pursuant to these actions, we are requesting employees submit health-related personal data (“Personal Data”) described below.
The Personal Data we collect may include, among others: your name; contact information; work location; your COVID-19 vaccination status, including information about the date(s) on which you received a dose of any COVID-19 vaccination, the name of the healthcare provider and the name of the company that made the dose; a copy of your COVID-19 Vaccination Record Card; a record of immunization from a healthcare provider or pharmacy; a copy of medical records documenting the vaccination; a copy of immunization records from a public health, state, or tribal immunization information system; a copy of any other official documentation that contains the type of vaccine administered, date(s) of administration, and the name of the healthcare professional(s) or clinic site(s) administering the vaccine(s); and COVID-19 testing records, which may include your name, date of birth, date of the test, the name of the healthcare provider and test result. This information will be used for the limited purposes of return-to-work planning, workplace safety, administering employee, client, vendor and subcontractor relationships, customer staffing and satisfying applicable legal requirements, and the Personal Data may be disclosed for these same purposes, including to clients, service providers, OSHA and public health authorities. If you inform us that you have tested positive for COVID-19, we also may use that information to help identify other persons with whom you might have had contact.
We collect this information from you in a number of ways, including by asking you to upload the information online, sending it to us via text message or by recording video or audio footage of you taking a COVID-19 diagnostic test.
We will take appropriate measures to protect Personal Data in line with applicable privacy and data security laws and regulations. We will retain the Personal Data for the period of time necessary to meet our commitments and obligations to you and our clients, and to comply with applicable legal requirements.
